Food and Lodging Package Costs


If you chose to be a partner or exhibitor, we require all partners/exhibitors to make all of your hotel reservations and pay directly to the Hyatt. Lunch, breaks and hospitality is provided for your staff attending free of charge (based upon your sponsorship level).  Additional staff are welcome to attend for reduced pricing. Please contact us directly regarding adding additional staff to the event.

Exhibitor/Partner Terms and Conditions

 

Payment and Terms
Exhibit space cost and payment terms are stated on the website. All payments are non-refundable. In the event of a cancellation by Exhibitor, the Booth Fee will not be reduced or refunded, and the total amount will be due. If the conference is cancelled for any reason beyond Management’s reasonable control (e.g., an act of God, lack of attendance, pandemic, fire, civil disturbance, power failure, Hotel cancelling event, etc.) Exhibitor’s responsibility will be what has actually been paid for regarding this contract. If the conference is cancelled for any other reason than all monies will be credited towards a sponsorship of a future event.

Booth Assignment
Management reserves the right to make all final determinations relating to space assignments and booth sizes. Management shall have no liability for its failure or inability to comply with Exhibitor’s requests. Exhibitors shall have no right to cancel this contract because of Management’s failure to meet or comply with the Exhibitors request.

Fire, Safety and Health
Exhibitor assumes all responsibility for compliance with City of Columbus and the State of Ohio ordinances and regulations covering fire, safety and health.

Licenses/Permits
Exhibitor shall be responsible for obtaining any licenses, permits or approvals required under local or state law applicable to their activity at the exposition. Exhibitor shall be responsible for paying all taxes, license fees or other charges that shall become due to any government authority in connection with their activities at the exposition.

Exhibitor Functions During Exposition Hours

Exhibitor’s booth will be open during conference educational workshop hours.

Installation and Removal
Exhibitor must install their exhibit before the opening of the exposition. The Official exhibition tear down time will begin 1:00pm Tuesday. You are welcome to stay longer.

Property Loss or Damage
All exhibit property is the responsibility of the Exhibitor. The Management of the Hyatt Regency Columbus, The Greater Columbus Convention Center and Campus Fire Safety Com LLC and their owners, employees, affiliates, and managers are not responsible of any loss or damaged property.

Liability and Insurance
Exhibitor shall obtain and keep in force during the term of the installation and use of the exhibit premises, policies of comprehensive Commercial General Liability Insurance and Contractual Liability Insurance insuring and specifically referring to contractual liability in an amount not less than $1,000,000 Combined Single Limit for personal injury and property damage. To Include Campus Fire Safety Com LLC.

Other Rules and Regulations
Management reserves the right to change the rules and regulations and to make additional rules and regulations as needed. All changes will be sent unofficially to the exhibitors. However, the exhibitors shall be responsible to check this section of the website periodically for all official updates.

Security
Each exhibitor shall be responsible for securing their own property. The conference exhibit area is located in the foyer (public area) of the meeting rooms used for this event. There is no additional security provided above and beyond what is in place by the hotel staff periodically walking the area. The Management of the Hyatt Regency Columbus, The Greater Columbus Convention Center, Conference Sponsors, and Campus Fire Safety Com LLC and their owners, employees, affiliates, and managers are not responsible of any loss or damaged property.
